What personal information NetworkingBadger holds, why, where it is kept, who helps us, and the rights you have over it.
NetworkingBadger is a brand of CleverOwl Solutions Ltd, registered in England and Wales, company no. 16973711. VAT no. GB519492465. Registered office: 82a James Carter Road, Mildenhall, Bury St Edmunds, IP28 7DE.
Two different roles
For organisers and organisations, CleverOwl Solutions Ltd is the controller. That covers the accounts your organisers sign in with, your organisation’s details, and your subscription and billing with us.
For members and guests, the networking organisation you belong to or visit is the controller, and we process your information for them, on their instructions, under our data processing terms. If you are a member or a guest, your organisation is the first place to go with questions about your information; we will help them answer.
What we hold
About organisers
- Your name, email address and role, and a scrambled (hashed) password if you set one. We never store your password itself.
- Your organisation’s name, groups, branding and settings, and the date you accepted our data processing terms.
- Your subscription: your plan, renewal date, the month and year your card expires, and our payment provider’s reference for you. Stripe holds your card details; we never see or store your card number.
- When you last signed in and used the dashboard.
- Emails you send us.
If you sign in with Apple or Google
- Apple or Google tells us your name and email address, or, if you choose Hide My Email with Apple, an address Apple forwards to yours, and an identifier for your account with them. We never receive your Apple or Google password. We use this only to sign you in, to the account with the same email address or the one your invitation was for. Apple and Google handle your sign in under their own privacy policies.
About anyone who contacts us
- If you use our contact form, message the team from Barry’s chat, or email us: your name, email address, organisation if you give it, and your message. From Barry’s chat, the message also carries your last few messages with Barry, so you do not have to explain twice. We use them only to reply to you.
About members and guests, on behalf of their organisation
- Your profile: name, contact details, company, job title, what you can help with and would like to meet, and who can see each part of it.
- Your memberships, meetings booked and attended, and membership payments your organiser has recorded.
- Introductions, messages, posts in a group’s chat, help requests, referrals and one to ones. Private notes on a one to one can be read by the person who wrote them and nobody else, including your organiser and us through the app.
- For guests: what you told us when you registered, that you confirmed your email address, and the four choices you made about how your information may be used. Those choices are checked every time anything is sent to you.
- When you last used the app, whether you installed it, and a push notification address if you switched notifications on.
Why we use it
| What for | Legal basis |
|---|---|
| Providing NetworkingBadger to your organisation, and the emails it sends as part of that | Our contract with your organisation |
| Taking payment, and keeping invoices and VAT records | Contract, and our legal obligations |
| Keeping the service secure, and working out whether an organisation is getting value from it, so we can help before it is too late | Our legitimate interests |
| Replying to a message you send us through the contact form or by email | Our legitimate interests in answering you |
| Anything else, such as news about NetworkingBadger | Only with your consent, which you can withdraw at any time |
We do not sell personal information, we do not use it for advertising, and there are no advertising or analytics trackers in NetworkingBadger.
Where it is kept, and who helps us
Your information is stored in London. These companies help us run NetworkingBadger and process personal information for us under written agreements:
| Company | What they do | Where |
|---|---|---|
| Supabase | Our database, where everything in NetworkingBadger is stored | London, United Kingdom |
| Vercel | Runs the website and the app | London, United Kingdom (Vercel is a US company) |
| Resend | Sends our emails: sign in links, confirmations, reminders | Ireland (Resend is a US company) |
| Stripe | Takes organisations’ subscription payments and holds card details | UK and EU, with some processing in the US |
| Cloudflare | Runs our domain name, and checks that the contact form is sent by a person, not a spam program (Turnstile, which sets no tracking cookies) | Global network |
| Apple, Google, Mozilla | Deliver push notifications, only to people who switch them on | Global |
| InsightSquirrel | Our sister product, from the same company. Only where an organisation connects its scorecards: a visitor who answers one on their visit page may send their details with their answers, and InsightSquirrel sends their result back to that visitor’s record. We keep only the result (the scorecard, the outcome and the score), never each answer. A visitor’s name and email are passed to the scorecard in their browser, to fill in its form, which they still choose whether to send | European Union |
| TicketOtter | Our sister ticketing product, from the same company. Only where an organisation connects its TicketOtter account: we send it a meeting’s details to create a ticketed event, and receive the names and email addresses of the people who bought tickets, for that organisation’s team. We send ticket buyers nothing | As TicketOtter’s own privacy policy says |
| Anthropic | Runs Barry, the optional AI assistant for organisers, who helps them set up and answers their questions about using NetworkingBadger. It sees what an organiser types to Barry and the outline of their setup, never the names, email addresses or phone numbers of members or of anyone on the team, and does not use it to train its models. Questions asked through Ask Barry are not stored by us: the conversation stays in the organiser’s browser tab | United States |
Where information is handled outside the UK, it is protected by the safeguards UK law requires, such as the UK International Data Transfer Agreement or the UK and US data bridge.
How long we keep it
- An organisation’s data, while it subscribes, and for 90 days after it cancels, so it can come back. After that we delete it permanently.
- Invoices and payment records, for six years, as UK tax law requires.
- Messages sent to us through the contact form or by email, for up to two years after we last reply, unless they become part of an organisation’s account.
- A member who deletes their account is anonymised straight away in every organisation they belong to, and what they wrote is deleted: their messages, posts in a group’s chat, help requests, notes on introductions and descriptions of referrals they gave. Counts they were part of, such as meetings attended, stay accurate but no longer say who they were.
- A guest’s registration that was never confirmed by email, for seven days, then deleted.
- Guests’ information, for as long as the organisation they visited keeps it, within its own policies.
Your rights
You can ask to see the information we hold about you, have it corrected, have it deleted, restrict or object to how it is used, or take a copy with you. Members can download their own data and delete their account themselves, from Settings in the member app. Guests can change their choices at any time from their visit page.
To ask us, email hello@networkingbadger.com. We reply asap, and always deal with your request within the month the law allows. If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
Cookies
We use only the cookies NetworkingBadger needs to work. None of them track you or are used for advertising, so the law does not require us to ask your permission for them, but we tell you about them the first time you visit.
| Cookie | What it is for | How long it lasts |
|---|---|---|
| __Secure-authjs.session-token | Keeps you signed in | 30 days, or until you sign out |
| authjs.csrf-token, authjs.callback-url | Protect signing in by emailed link, and return you to where you were | Until you close your browser |
| nb_active_group | Remembers which group an organiser is looking at | Until you close your browser |
| nb_active_membership | Remembers which of your groups the member app is showing | Until you close your browser |
| nb_dismissed_banners | Remembers the notices an organiser has dismissed | 90 days |
| nb_cookie_choice | Remembers that you have seen this cookie notice | One year |
The member app also remembers on your device whether you have installed it and whether you have dismissed its install prompt. If we ever want to use a cookie that is not essential, such as for analytics, we will ask you first and you can say no.
To see how our website is doing, we count visits to its public pages, such as the home page and this one. We do it without cookies and without recording anything about you: no network address, no browser details and no identifier of any kind. All we keep is a daily total for each page, and the name of the website or search engine that linked to it, if any.
Children
NetworkingBadger is for adults in business. It is not intended for anyone under 18.
Changes
If we change this policy in a way that matters, we will tell organisations by email before it takes effect.
